Events Manager

OpenAI is an AI research and deployment company dedicated to ensuring that general-purpose artificial intelligence benefits all of humanity. The Events team helps bring that mission to life through high-impact experiences that require rigorous planning, thoughtful guest experience, reliable cross-functional coordination, and careful execution.

This role will work under the guidance of the Enterprise Events Lead to support high-impact OpenAI enterprise events, with ownership across operations, vendor coordination, guest experience, safety, budgets, communications, and post-event reporting. The ideal candidate is a detail-heavy event operator who can move quickly, solve creatively, manage front-of-house moments gracefully, and use event systems confidently.

• Manage high-profile events end to end, including workstreams, registration, guest experience, catering, and onsite production.
• Build and maintain project timelines that track milestones, deliverables, dependencies, and deadlines.
• Source, negotiate with, and coordinate vendors, including catering, AV, and creative production teams.
• Own attendee registration, check-in, and pre- and post-event communications.
• Track budgets, invoices, and spend against targets with meticulous financial records.
• Coordinate across design, procurement, security, vendors, and internal stakeholders to align execution with strategy and brand guidelines.
• Implement safety and security protocols that protect attendee well-being and meet compliance expectations.
• Analyze event metrics, attendee feedback, and key learnings to improve future events and measure ROI.

• 4+ years of event production experience across end-to-end planning, onsite execution, and post-event analysis.
• Strong ownership of guest experience, front-of-house operations, and vendor coordination for high-profile corporate events.
• Comfort working in a fast-paced, detail-heavy environment with meticulous planning and creative problem-solving.
• Tech-savvy operator fluent on Mac and event software systems such as Airtable, Luma, Swoogo, Google Sheets, or similar tools.
• Passion for OpenAI's mission and excitement about showcasing AI technology through impactful event experiences.
